I have was scanning the police frequencies and heard a report of stolen firearms. The description was very poor, the owner did not know model numbers and some cases the description was "old 30-06, brand unknown".
So I spent the day inventorying my gun safe, recording the serial numbers, model and brief description. I printed it and have a copy"off site".
The good news I have more Dan Wessons than I thought, next I will try to count grips, parts and holsters.

I use a very nice copy of free software you can get online-- you can find it at the link below... looks like they have upgraded it since I started using it years ago--maybe I need an update..

I use a pocket camera to take video clips instead of photos.
I talk about the pistol during the video. I then make copies of the media card,
store them on and off premises. If you need photos just use your print screen
button while watching the video and print it in paint brush.

I use an Excel spreadsheet to record my firearm info. If you don't have MS Office, there is a real nice free program Apache Open Office that has all the same functions as MS Office. I don't see any reason to have a special program to record your firearm data.
I have columns for Make, Model, Caliber, Condition (percent of like new), Price Paid, Current Estimated Value (Obtained by looking at the auction sites and seeing what the same model is selling for currently), and a column for notes, like any mods you've made, and things like that. You can also add a column for pictures if you want. I just take group pictures and add them at the bottom.
It's free, and easy to use, and can be read by most insurance companies. And you can customize it to add any data you want. Then copy the file to flash drives, or CD's and keep in safe locations.
